Microsoft 365 Business Standard or Premium costs between $15 and $26 per user per month. For that price, you're getting far more than email and Office apps — you're getting a security platform, a backup solution, a communication hub, and an automation toolkit. Most businesses use roughly a quarter of it.
Here are the M365 features that deliver the most value for Montreal SMBs — most of which can be enabled without buying anything extra.
1. Multi-Factor Authentication — Enable It Today
MFA is probably the single highest-impact security change you can make to your Microsoft 365 environment. It's included in every M365 plan, it takes about an hour to configure, and it blocks over 99% of automated credential attacks.
If someone's password gets compromised in a data breach (which happens constantly, to millions of accounts), MFA means the attacker still can't get into your Microsoft 365 tenant without the second factor on your employee's phone.
Surprisingly, many Montreal SMBs that pay for M365 haven't enabled MFA. This is the first thing we fix when onboarding a new client.
2. Microsoft Defender for Business — Your Built-In Security Platform
M365 Business Premium includes Microsoft Defender for Business — a full endpoint detection and response (EDR) platform. This is not basic antivirus. It uses AI-driven behavioural analysis to detect ransomware, malware, and suspicious activity across all your Windows and Mac devices.
It integrates directly with your M365 admin console, so your IT team (or your MSP) gets a unified view of threats across your entire organization. For most SMBs, this replaces the need for a separate third-party antivirus product.
Included in: Microsoft 365 Business Premium. If you're on Business Standard or Basic, Defender for Business is available as an add-on for approximately $3/user/month — worth every cent.
3. Conditional Access — Stop Logins from Risky Locations
Conditional Access lets you set rules about when and where users can sign in to Microsoft 365. For example:
- Block sign-ins from countries your business has no reason to operate in
- Require MFA when signing in from an unrecognized device
- Block access from personal devices that don't meet your security standards
- Require compliant devices for access to sensitive data
These policies run silently in the background. Your employees don't notice them on a normal day — but they block attackers who have stolen credentials and are trying to log in from Russia, China, or a coffee shop across town.
Conditional Access requires Azure AD P1, which is included in M365 Business Premium.
4. Microsoft Teams — More Than Chat
Most M365 users use Teams for messaging and video calls. But Teams also includes:
- Shared channels — collaborate with clients or partners without giving them full access to your tenant
- Teams Phone — replace your business phone system entirely with VoIP through M365
- Planner and Tasks — basic project management without a separate tool subscription
- Loop components — real-time collaborative editing directly inside chat messages
- Meeting recordings and transcripts — automatically stored in SharePoint for later review
5. SharePoint and OneDrive — Your File Server in the Cloud
Every M365 user gets 1TB of OneDrive storage. But more importantly, SharePoint gives your organization a structured, permission-controlled place to store shared files — replacing the need for an on-premises file server for many SMBs.
SharePoint + OneDrive together give you:
- Automatic version history — restore any document to any previous version
- Real-time co-authoring in Word, Excel, and PowerPoint
- Granular permissions — control exactly who can see and edit what
- Access from any device, anywhere — no VPN required
- Integration with Teams — every Team has its own SharePoint library
Common mistake: Using OneDrive as a personal drive and emailing files back and forth. SharePoint team sites eliminate this entirely and make collaboration dramatically smoother.
6. Microsoft Intune — Manage Every Device
Included in M365 Business Premium, Intune lets you manage and secure every Windows, Mac, iOS, and Android device in your organization from a single console. You can:
- Enforce encryption on all devices
- Push software and settings remotely
- Remotely wipe a lost or stolen device
- Ensure devices meet your security standards before granting M365 access
- Separate work data from personal data on employee phones (BYOD)
For a Montreal business with remote employees or a mix of company-owned and personal devices, Intune is a significant security upgrade that most businesses leave completely unused.
7. Defender for Office 365 — Email Security That Actually Works
The standard M365 spam filter catches obvious junk, but Defender for Office 365 goes much further:
- Safe Links — rewrites and scans every URL in every email in real time before you click
- Safe Attachments — opens attachments in a sandbox to detonate any malware before it reaches your inbox
- Anti-phishing policies — detects impersonation attacks targeting your executives or domain
- Attack Simulator — lets you send simulated phishing emails to your own team to test and train them
Defender for Office 365 Plan 1 is included in M365 Business Premium and is available as an add-on for other plans.
Getting the Most Out of Your M365 Investment
The challenge with Microsoft 365 isn't features — it's configuration. Most of these capabilities exist in your tenant already but need to be properly set up, tested, and maintained. A default M365 deployment with default settings is significantly less secure than one that's been configured by an experienced IT team.
